New Business
Transferring from Other Orders
Need to define transferring for postulants, aspirants, if it’s any different. Clarify big siblings only for novice and below?
Sister Ivana: Not too worried about aspirants/postulants transferring. Some verbiage in there to allow grace in handling based on their referral.
Guard Ian: We added verbiage in the proposed bylaws for a situation in which we couldn’t reach the Abbess or MoN for recommendation, to allow vetting by the board. Sister Traci: Could alternatively ask for a recommendation from two former house members in lieu of letter from Abbess or MoN.
Elevation Process
Need to determine how we will vote for them, Bylaws say secret ballot. We can adjust that if we change to a voice vote during meeting.
Padre: Who is helping the guards? Three fathers, who is taking guard, who is taking sister. Why did we get rid of the distinction between guards and sisters? who decided it? P&P Committee meetings? when were they? why wasn’t the house made aware. Need to open P&P committee to the house for meetings and better communicate them.
Need to define roles for Guards, several people have been asking. Padre to meet with a Guard from the Tampa Sisters.
Manifestations Amendment
Sister Ivana proposes an amendment to the current P&Ps (ahead of P&P rewrite approval), which requires members to determine a point sibling ahead of an event, complete report for attendance after the event. Need to plan manifestations instead of doing them without planning.
Miscellaneous Concerns
Padre: Concerns about Sister Sacral going out to so many events all the time. Never have time to meet with people, no planning events in advance. Sister Sacral: Encouraged Padre to come out to events!
Padre had concerns about not being able to trust other members of the house. Communications issues prior to starting the house, leaks of information from early founding meetings, and Sister Gloria and other house members being bullies. They also had issues with bringing select members of the KH near them when manifesting and giving them a hug. MJs is not a safe place for them.
Sister Tracy and April - we need to be able to trust each other and not bring drama and preconceived notions into the current group. Sibling not being able to trust another at an event is a problem that needs to be addressed IMMEDIATELY.
Sister Ivana - tried to resolve what we could - Apologized for what happened with Gloria. What happened with Nico and another original potential founding member of the house was beyond his control. He’s always given Padre a chance regardless of what other people have said. We need to understand boundaries and issues in order to properly address them.
As a house, need to schedule more social without makeup. Mentors mentioned feedback about cliques and some members of the house not talking to each other. Sister Sacral mentioned not being aware of the cliques and being sad/concerned about not knowing about them.
To schedule a food meeting in late July, date to be determined in slack. Need regular house meetings without makeup!
Guard Ian: Concerns over conversations in board chat regarding handling of Sister Cain Tuckee. Padre confirmed they were just wanting to clarify the differences between P&Ps and Bylaws and trying to gain understanding, not trying to target Cain Tuckee. Sister Ivana proposed starting fresh with meeting attendance and event/manifestation attendance, now that we’re tracking attendance for manifestations. Almost every house member would be considered inactive at this point if we went strictly by the bylaws for previous history, including but not limited to Cain Tuckee, Padre, Ivana, and Cecilia. Starting fresh will make it easier for everyone now that we’re able to keep track of it better. This can be a motion at the next meeting.
Roles and Leadership Positions
Sister Ivana - Sister Sacral has way too much to do. Adjusting process for aspirants and postulants to have two big siblings/sponsors to take work off of the MoN.
Sister Traci: What roles is Guard Ian Currently filling not related to the Treasurer role: Guard Ian: Acting secretary, in some cases - acting abbess (meetings and agendas), webmaster, manager of google workspace, UNPC delegate, P&P Committee Chair.
With election of a new Secretary, Guard Ian to transition all secretary tasks to newly elected board member by August.
Need to define rolls for: * Webmaster * Management of slack/google workspace/email groups * Father Time: Management of event calendar, public email communication, etc
Guard Ian needs to formulate a contract for web hosting to say who is responsible for what.
Board Meeting Schedule
Need to look into dates in September.
Dispensations
Sister Ivana - Dispensation for White Face for an aspirant MUST NOT happen again. This is a person not even officially a member of the house yet, they need to make that clear by distinguished look.
